The Auctions Administrator will work closely with the Director of Auctions and the sports and antique/collectibles teams to provide necessary support and assistance to achieve the company’s revenue goals and continue the growth and success of Collect.com Auctions as a major player in the marketplace.
Reporting to the Sports Community Leader, the Auctions Administrator is responsible for –
• Project coordination: Responsible for adherence to timelines and schedules for catalogs, auctions, photography, advertising, shipping and invoicing.
• Inventory tracking: Developing efficient process for receiving, storing and shipping items, as well as identification of what needs to be authenticated, photographed, have descriptions written, etc.
• Bidder relations: Assist bidders with registration process, general questions, bidding issues, sending notifications to consignors and bidders, as well as sending and receiving, and processing payments involving consignors and buyers.
• Shipping: Developing contacts with UPS and FedEx allowing us to ship from our location. Also, working with director of auctions to ship items to winning bidders and consignors in cases where the item did not make it into auction.
• Software ability: Must have expert grasp of Excel, Outlook and Simple Auctions software.
• Reports: Provide management with reports, monitor budget compliance and ensure expenses are recorded.
• Dedicated E-mail Broadcasts (DEBs) & Advertising: Produce and execute DEBs upon request as well as schedule and produce all internal and external ads for the auction business. This will require working with the director of auctions for relevant content and often involve working with individual editorial staffs.
• Auction Catalog: Work with graphic designer to produce an auction catalog.
• Photography: Help in photography department whenever possible to ensure all photos are done prior to catalog and web deadlines.
• Upload process: Provide Simple Auctions with spreadsheet to upload auction OR flip items in auction software to current action. Responsible for making sure the following items are completed and in the upload spreadsheet for each auction lot: photos, weights, oversize notations.
• Auction Close: Responsible for closing an auction the day after it is completed. Includes: updating shipping, checking for foreign winners, manually entering all “extra large” lot shipping cost, emailing and mailing invoices.
• Authentication: Set up for an authentication company’s visit to our office. Make sure all items are ready to be authenticated, laid out and reports are produced prior to arrival. Once completed, inventory all failed items and remove them from auction list, request auction LOAs for items looked at, return all failed items.
• Submit and record all consigner payments.
